02GDPR and Key Terms
We process personal data in accordance with the EU General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) and the Dutch GDPR Implementation Act (Uitvoeringswet AVG).
- Personal data — any information relating to an identified or identifiable natural person.
- Processing — any operation performed on personal data, such as collecting, storing, using, sharing or deleting it.
- Data subject — the person the data relates to (you).
- Controller — the party that determines why and how personal data is processed (FlowLand).
- Processor — a party that processes personal data on the controller's behalf, such as a hosting provider.
03Personal Data We Process
- Identity data — name, company and job title.
- Contact data — email address, phone number and business address.
- Request and transaction data — industry, products of interest, technical requirements, quotations, orders and correspondence.
- Technical and security data — IP address, browser and device information and timestamps of requests.
04How We Collect Data
We collect personal data electronically — partly automatically — when you use the forms on this website, send us an email, call us or meet our team. The data is stored in our email, quotation and archive systems.
05Purposes of Processing
- Responding to enquiries and preparing quotations and product recommendations.
- Concluding and performing contracts, including delivery, sales and after-sales support.
- Handling complaints and warranty requests.
- Complying with legal obligations such as tax and accounting rules.
- Ensuring information security and improving our website and services.
06Legal Bases
We process personal data on the following bases under Article 6(1) GDPR:
- Contract — processing necessary to prepare or perform a contract with you (b).
- Legal obligation — processing required by law, for example fiscal record-keeping (c).
- Legitimate interest — answering business enquiries, securing our website and improving our services (f).
- Consent — where you give it, for example via the checkbox on our forms (a). You can withdraw consent at any time.
07Sharing and Transfers
We only share personal data where necessary, with:
- our authorised staff;
- manufacturers and suppliers, only when needed to answer a technical question or fulfil your order;
- service providers acting on our behalf, such as hosting, email and form-delivery providers, under data processing agreements;
- authorities, where we are legally required to do so.
Some service providers may process data outside the European Economic Area. In that case we make sure appropriate safeguards are in place, such as an adequacy decision or the EU Standard Contractual Clauses.
08Retention and Security
We keep personal data no longer than necessary for the purposes above. Enquiries that do not lead to an order are deleted within two years; data that forms part of our business administration is kept for seven years as required by Dutch tax law. After that, the data is deleted or anonymised.
We apply appropriate technical and organisational measures — such as encrypted connections, access restrictions and secure systems — to protect personal data.
09Your Rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased (“right to be forgotten”);
- restrict processing;
- data portability;
- object to processing based on legitimate interest;
- withdraw your consent at any time, without affecting earlier processing;
- lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
10How to Exercise Your Rights
Send your request by email to sales@flowland-nl.com or by post to FlowLand Industrial, Westzijde 127, 1506 GB Zaandam, The Netherlands. To protect your data we may ask you to confirm your identity. We will respond free of charge within one month; for complex requests this period may be extended by two further months, in which case we will let you know.
